Sponsorship

Step 1: Register for your course(s) online

• Create your myBCIT student account, if you have not done so already.
• View the course catalogue to select your courses and add them to your shopping cart.
• In your shopping cart, select “proceed to registration” to log in to myBCIT and register.
• Exit myBCIT before payment is required.

Some courses require approval from the program area. This will be stated in the course notes. Please ensure you have the required approval before registering.

Step 2: Submit a Letter of Authorization

Once you’ve registered for your course(s), have your sponsor email a Letter of Authorization to Sponsorship@bcit.ca by the next business day.  Please see the Sample Letter of Authorization for Flexible Learning [PDF].

If your letter is not received within one business day from your date of registration, you may lose your seat in the course.

If you have been authorized to receive funding for all courses required for a BCIT credential, a new letter must be submitted for each term in which you are registered.

If you would like to authorize BCIT to release your personal information to a third party such as your sponsoring company or agency, complete and submit the Consent to Release Personal Information to Third Party [PDF] with your sponsorship request. Student confidentiality is very important to BCIT. Under provincial privacy regulations, BCIT cannot release any personal information about you or your account to any third party without written consent.

Step 3: Pay for your course(s)

BCIT will email* an invoice to the sponsoring company or agency. The sponsor will then have net 20 days from the date of the invoice to provide payment by cheque or electronic funds transfer.

The student will be responsible for payment of any course(s) in the event the sponsoring company or agency refuses to resolve the invoice

*A hard copy invoice can be mailed or faxed upon request.

Refunds and withdrawals

If you withdraw from a course before the refund deadline, your sponsor will receive a refund by cheque, in accordance with BCIT’s flexible learning (part-time studies) refund policy.

For sponsors

If you wish to withdraw a sponsored student from a course, please email Sponsorship@bcit.ca to request a withdrawal.  If eligible under the refund policy, you will be provided details of your refund.

BCIT will email your sponsored student to notify them of their withdrawal, and they will be given the option to pay to continue in the course.

Withdrawing from a course

To withdraw from a course, advise your sponsor and submit a Flexible Learning Course Withdrawal form [PDF] to BCIT.

Please note the refund deadlines before submitting your form.

Transferring to another course

If you wish to transfer to another course, send an email to Sponsorship@bcit.ca, and the Registration Office will review your request.

Requests for transfer must be submitted by the refund deadline and may be subject to a transfer fee. Please see the refund policy for details.

If your request is approved, you will be instructed to contact your sponsor to provide a new Letter of Authorization to support the new course and, if required, to authorize the transfer fee.

Ask your sponsoring company or agency to write a letter of authorization detailing the amount and conditions of the contract. This letter must be signed and printed on company letterhead. Step 2: Submit your completed documents

Submit your completed full-time studies sponsorship request(s) to Revenue Accounting by one of the following methods:

Step 3: Pay for your courses

If you are newly accepted into a full-time program, you are required to pay your BCIT Commitment Fee to secure your seat while your sponsorship request is being processed.

Once the sponsorship request has been processed, BCIT will email* an invoice to the sponsoring company or agency. Invoice payment can then be made by cheque or electronic funds transfer. BCIT’s payment terms for sponsorship invoices are net 20 days.

Refunds and withdrawals

If you withdraw from a program before the refund deadline, the sponsoring company or agency will receive a refund by cheque, for any payment made on the invoice, in accordance with BCIT’s full-time studies refund policy.

As a sponsored student, you are responsible for:

• Confirming registration at myBCIT.
• Providing BCIT with current contact and personal information, and advising BCIT immediately of any changes.
• Reviewing BCIT’s Full-time Studies refund policy.
• Submitting a completed Full-time Technology Withdrawal [PDF] or Trades Withdrawal [PDF], if you wish to withdraw from the program.
• Paying the program tuition in the event the sponsoring company or agency refuses to resolve the invoice.
