Leaving BCIT Student Housing? Here’s everything you need to know to ensure smooth check-out process.
If you are preparing to check out of Student Housing, please follow these procedures
Remove your belongings
Before your departure, ensure all your items are taken with you or disposed of properly in the garbage and recycling. Do not leave any personal items in your bedroom, common areas, kitchen cupboards/drawers, fridges, bathrooms, or showers.
Note: You will be charged for the cost of disposing abandoned items.
Clean your room
- Vacuum your room
- Wipe all surfaces
- Empty garbage and recycling bins, and remove all garbage and recycling from your room.
- Leave the garbage or recycling bins—they must remain in the room.
- Note: Additional charges will apply if the room is not left clean.
Returning your keys
You must return your keys to the Housing Office in SW07, or the Key Drop in either SW07 or SW11. Note: Do not leave your keys in your bedroom/suite, with a friend or a suitemate.
During office hours
- Monday – Friday from 8:00 am – 6:00 pm you may return your keys to our front-desk staff in SW07.
After hours
Evenings and weekends: Drop your keys in the key drop box in the lobby of Tall Timber Student Housing.
- Record your name along with your building, suite, and room number on a key envelope
- Seal the envelope
- Drop it into the key return box – located to the left just inside the main office entrance.
Failure to return your keys to the housing office will result in a replacement charge of $25/key.
Reminder: Failure to check out on time without notifying the Housing Office will result in additional fees, and may result in the cancellation or refusal of future bookings.

If you are planning to move out before your contract ends, you must submit your notice to vacate through the housing portal.
Note: you may not be eligible for a prorated rent refund if you do not provide 30 days notice before vacating housing. For more information, review the housing contract.
Before you vacate housing, please ensure your account is up to date. Any outstanding balances must be paid in order to avoid penalties or holds.

Some residents may have a damage deposit. Full damage deposits will be credited to your account after a check-out inspection is completed by Student Housing staff. If there are no charges due to damages or unsatisfactory room conditions, your damage deposit will be credited to your account.
If a credit is applied to your BCIT student account by the Student Housing Office, the BCIT Finance office will process and issue any refunds.
To request a refund, please follow these refund request instructions.
If there are any outstanding fees on your BCIT account (tuition, rent, parking, and other fees) the refund will be applied to these fees then the remainder will be issued.
Refunds take approximately six – eight weeks to process after being applied by Student Housing, plus mailing time.
If a refund is issued:
- by cheque it will be made payable to the student and sent via mail to the mailing address listed on the student’s my.bcit.ca account, or;
- where a third-party was invoiced, the refund will be made payable to the third party, or;
- through Flywire for students who paid using Flywire.
