This article defines the governance and operational procedure for the allocation, monitoring, reclamation, and reassignment of Microsoft 365 Copilot licenses to ensure effective, equitable, and responsible use across the institution.
About Microsoft 365 Copilot Licenses
Everyone at BCIT has access to Copilot Chat, which—when signed in with a BCIT account—provides a secure AI chat experience for general questions, drafting, and brainstorming.
In addition, a pilot group of 500 participants has access to Microsoft 365 Copilot, the licensed version that offers deeper, work‑based assistance using Microsoft 365 data across tools such as Outlook, Teams, Word, Excel, and PowerPoint.
BCIT secured these 500 licenses as part of a structured three-year pilot. The pilot is intentionally capped to allow BCIT to evaluate usage patterns, support impacts, and technical, security, operational, and governance considerations.
As part of this pilot, licenses were allocated to departments in limited quantities. Departments manage these assigned licenses internally, including reassigning them between employees as needed. This means that license transfers and availability are limited to the number of licenses each department was originally granted.
We are aware that interest in the licensed version of Copilot extends well beyond the initial 500 participants. Many members of the BCIT community have expressed enthusiasm about using Copilot more deeply within their Microsoft 365 workflows, and that interest is both recognized and appreciated.
